We are committed to protecting your personal data and being transparent about how we collect and use it.

Principles of Intelligence is a nonprofit organization. We do not sell products or services, and we do not sell your personal data.

- Who This Policy Applies To
This policy covers how we handle personal data for:
- Job Applicants – People who apply to our job listings
- Fellowship Applicants & Fellows – People who apply to or participate in our programs
- Alumni – Former fellows or participants in other programs who remain engaged with our community.
- Newsletter Subscribers – People who sign up to receive our newsletter
- Event Participants – People who attend our retreats, workshops, or other events
- Website Visitors – Anyone who visits our website
2. What Personal Data We Collect
For Job Applicants, Fellowship Applicants, & Fellows
When you apply to a Principles of Intelligence fellowship via our Expression of Interest forms, we collect:
- Contact information: Name, email address, location
- Application materials: Research interests, academic background, CV, writing samples
If your application advances for further consideration, we will also collect additional information about your suitability for the programs during interviews. Interviews may be recorded, but never without your explicit consent before doing so.
After acceptance, we will require additional onboarding data from you, such as:
- Identification details: Passport or ID Number, nationality, legal residency address, date of birth, your picture.
- Administrative data: Your availability for different sessions, housing preferences (where needed) or payment details (if applicable for stipends).
Please note that the above is a non-exhaustive but accurate list of the necessary data categories we will collect at different stages.
We need these data to evaluate your application, administer your fellowship, and fulfill our obligations under the Fellowship Agreement.
Under the GDPR, our Legal basis for processing these data is: Performance of a contract – processing is necessary to enter into and perform the Fellowship Agreement.
All sensitive data captured for the Fellowship Agreement is deleted after 1 year of completion of the Fellowship. We retain and continue to process the below details once you become an Alumni.
For Alumni
After you complete your fellowship, we may continue to process:
- Contact information: Name, email address
- Engagement data: Participation in alumni events, ongoing projects, career updates
- Follow-up information: Survey responses about your experience and career progression
These data are obtained directly from you- from your fellowship records and through voluntary participation in alumni activities.
We need these data to maintain our alumni community, track our impact as part of our mission (Theory of Change), and support your continued growth in AI safety research.
Under the GDPR, our Legal basis for processing these data is: Legitimate interests – maintaining an engaged alumni network supports our nonprofit mission.
You can opt out of alumni engagement at any time by emailing [email protected].
We contact alumni annually to confirm continued interest. If you don’t respond or ask to be removed, we will delete your data one year after your last engagement with us.
For Newsletter Subscribers
When you subscribe to our newsletter, we collect:
- Contact information: Name, email address
We collect this information through our newsletter signup form on our website. We need these data to be able to send you updates about our programs, research, and AI safety news
Under the GDPR, our Legal basis for processing these data is: Consent – you actively choose to subscribe, and you can unsubscribe at any time using the link at the bottom of every newsletter email, or by emailing us at [email protected].
We keep your data until you unsubscribe, and delete your details within 30 calendar dates once you unsubscribe (note that we stop sending you emails immediately after you unsubscribe).
For Event Participants
When you register for a retreat, workshop, or event through event registration forms, we collect:
- Contact information: Name, email address
- Event logistics: Dietary preferences, accessibility needs, travel arrangements (if applicable)
We need these data to organize the event and accommodate your needs.
Under the GDPR, our Legal basis for processing these data is: Performance of a contract (for registered events) or consent (for optional participation in related activities that are not a pre-requisite for contractual performance, such as group pictures taken during events). Where consent is the lawful basis, you will always be able to withdraw it by contacting us at [email protected].
We delete event-specific data 24 months after the event concludes. If you’re an alumnus/a, your data will be handled according to the Alumni section above.
For Website Visitors
When you visit our website, we automatically collect:
- Usage data: Pages visited, time spent, browser type, device type, IP address
- Cookie data: See our Cookies’ Policy
We collect these data automatically through your web browser and cookies. We need it to understand how our website is used and improve user experience.
Under the GDPR, our Legal basis for processing these data is: Legitimate interests – improving our website serves our mission.
3. How We Use Your Personal Data
We use your personal data only for the purposes described in Section 2 above. By way of summary, our standard purposes of processing are:
- Fellowship administration: Evaluating applications, onboarding fellows, managing projects, processing stipends
- Alumni engagement: Maintaining community, tracking our impact, supporting career development.
- Newsletter communications: Sending updates about programs, research, and AI safety developments
- Event organization: Coordinating logistics, accommodating participant needs
- Website improvement: Analyzing usage patterns to enhance user experience
- Funder reporting: Sharing aggregated (non-identifiable) data with funders to demonstrate our impact
4. Who We Share Your Data With
We share your personal data only when necessary. In connection with our Purposes of Processing described in the previous section, this typically includes the following.
Service Providers
We work with third-party service providers who process data on our behalf:
- Mailchimp – Email newsletter delivery (Mailchimp Privacy Policy)
- Google Forms & Google Analytics – We use Google Forms to collect your answers for Expressions of Interests and Intake forms. We use Google Analytics for website analytics (Google Privacy Policy)
- Complianz – We use Complianz to manage our cookies and compliance with applicable laws
These providers are contractually required to protect your data and use it only for the purposes we specify.
Funders
We may share aggregated, anonymized data (not personally identifiable) with funders to report on our programs’ impact. We will only provide personal information from Fellows or Alumni to Funders with their explicit consent, on a case-by-case basis.
Legal Requirements
We may disclose your data if required by law, court order, or government regulation, or to protect our legal rights.
We do not sell your personal data to anyone, regardless of the jurisdiction you are in. If you detect any misuse of your personal data in connection to our organization, we urge you to report any incidents as soon as possible by writing to us at [email protected].

What Are Cookies?
Cookies are small text files stored on your device when you visit our website. They help us understand how you use our site.

7. For EU/EEA Residents: Your Rights Under GDPR
If you are in the European Union or European Economic Area, you have the following rights:
- Access: Request a copy of the personal data we hold about you
- Rectification: Correct any inaccurate or incomplete data
- Erasure (“Right to be Forgotten”): Request deletion of your data when it’s no longer needed, you withdraw consent, you object to processing based on legitimate interests, or we processed it unlawfully (exceptions apply if we’re required by law to retain data or need it to defend legal claims)
- Restrict Processing: Request that we limit how we use your data in certain circumstances
- Data Portability: Receive your data in a machine-readable format to transfer to another organization
- Object: Object to processing based on legitimate interests or for direct marketing purposes

When you email us, please be as specific as possible as to which right you are exercising, and which personal data is in scope of your request (whether your request applies to any and all details of you held by us, or only to specific categories or specific fellowship programs or events).
We may ask for proof of identity before fulfilling requests, to ensure that you are the data subject entitled to make such requests.
We will respond to GDPR rights’ requests within 30 calendar days as required by the regulation. We are legally allowed to extend this period by another 30 calendar days, but only after notifying you (within the original time window) of this extension of time.
If you’re unhappy with how we handle your data, we hope that you contact us directly in the first instance, so that we may understand how to better assist you.
Otherwise, you have the right to submit a complaint to your local data protection authority. You can find the details of your country’s Supervisory Authority by visiting: EU Data Protection Authorities.
8. For California Residents: Your Rights Under California Law
Why CCPA Doesn’t Apply to us
As a 501(c)(3) nonprofit corporation, Principles of Intelligence is exempt from the California Consumer Privacy Act (CCPA). The CCPA applies only to for-profit businesses, and we:
- Are not organized for profit
- Do not sell personal data
- Do not meet the revenue or data volume thresholds established by the CCPA
Our commitments to you under the California Online Privacy Protection Act
In compliance with the California Online Privacy Protection Act (CalOPPA), we:
- Post this Privacy Policy on our website using a clear and accessible language
- Disclose what personal data we collect
- Explain how California residents can review/change their data
- Describe our Do Not Track policy (see Cookies section above)
Other Data Rights and considerations
- Review or change your data: Email [email protected] and let us know which changes or deletion of your data you want us to perform (be as specific as possible).
- California Shine the Light Law: We do not share personal data with third parties for their direct marketing purposes. Should this change, we are obligated to notify all persons in scope via email and to modify this Privacy Policy accordingly.
- Minors’ Privacy (under 18): Our programs and events are not aimed at minors. If you are under 18 and want to remove content you posted by mistake, contact us at [email protected].
9. Compliance with U.S. Federal Law (CAN-SPAM Act)
When we send promotional emails (e.g., about upcoming fellowships, events, or donation requests), we comply with the CAN-SPAM Act by providing:
- Accurate sender information: Emails clearly identify “Principles of Intelligence” (also known as “PIBBSS”) as the sender
- Honest subject lines: Subject lines accurately reflect the email content
- Clear identification: Emails disclose when content is promotional
- Physical address: Our mailing address appears in all promotional emails
- Easy opt-out: Every email includes an unsubscribe link
- Prompt opt-out processing: We honor unsubscribe requests immediately after you unsubscribe.
You can unsubscribe from promotional emails at any time by:
- Clicking the “unsubscribe” link in any email
- Emailing [email protected]
Note: Even if you opt out of promotional emails, we may still send you essential communications related to your fellowship or events you’ve registered for.
10. Data Security
We take reasonable measures to protect your personal data from unauthorized access, loss, or misuse:
- Secure data storage with reputable service providers
- Encryption for data transmission (HTTPS)
- Limited access to personal data (only authorized staff)
- Regular security reviews
No internet transmission is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
11. International Data Transfers
We are based in the United States. If you are located outside the U.S., please be aware that:
- Your data will be transferred to and processed in the United States
- U.S. data protection laws may differ from those in your country
- We take steps to ensure your data is protected according to this Privacy Policy and applicable law
If you are in the EU/EEA, we rely on appropriate safeguards for international transfers to countries without an adequacy decision as permitted under GDPR.
12. Children’s Privacy
Our fellowship, programs, events and newsletter are intended for adults only. We do not knowingly collect personal data from minors.
If you believe a minor has provided us with personal data, please contact us at [email protected] and we will delete it promptly.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, new legal or regulatory requirements or new features or services.
We will notify you of material changes via email, and we will update the “Last updated” date at the top of this policy.
