Position Details

  • Location: North America (USA or Canada). Candidates who can overlap with European timezones is a plus
  • Type: Full-time, remote-first, with frequent travel to event venues in the USA, UK, Canada and Europe.
  • Visa: We do not provide visa sponsorship for the USA or Canada. Applicants must have existing work authorization in the USA or Canada at the time of application. The ability to frequently travel to the USA is obligatory.

  • Salary range: Salary is dependent upon location and experience. Our estimated range is $80,000-$100,000 gross.

Role

We’re driven by the goal of making AI alignment more scientifically and theoretically grounded, especially by bringing tools from a variety of academic fields into AI safety. Therefore, we are looking for teammates who share that curiosity.

This role will be the operational backbone of our events and day-to-day coordination. This is a high-agency position for someone who can run logistics end-to-end, keep many threads moving, and make researchers’ lives easier while maintaining a high bar for professionalism and participant experience. 

We expect our Event and Operations Specialist to focus primarily on events (~60%), with the remaining time (~40%) dedicated to general operations, adjusted as priorities shift.

This role blends high-touch event delivery with fast-paced general operations support. You’ll turn workshops/retreats/symposium from idea to execution considering tight plans, clear comms, and smooth logistics while protecting leadership focus and streamlining day-to-day operations. You’ll work closely with the leadership team, especially the Executive Director of Operations (Dušan D. Nešić) and Executive Director of Research (Lucas Teixeira), to help scale Principles of Intelligence’s impact.

Responsibilities:

Event organization (~60%)

We plan to run roughly ~12 events per year of varying sizes (internal and external), primarily across the UK, USA, and Canada. This includes workshops (up to 100 people), retreats (20-40), talks, and other convenings aligned with our research programs and community. 

You will:

  • Own end-to-end event operations: timelines, run-of-show, vendors, venues, travel, A/V, catering, registration, attendee comms, etc.
  • Handle sourcing and procurement for events (supplies, venues, accommodation blocks, etc.)
  • Track and manage event budgets (quotes, invoices, expense tracking, reimbursements)
  • Build reusable systems: checklists, templates, playbooks, post-mortems, vendor lists
  • Coordinate closely with Dušan (ED Ops) and the team to ensure events serve research goals and run smoothly

General operations & executive support (~40%)

You will:

  • Serve as a first point of contact for internal/external communications
  • Support knowledge management: organize internal documentation, keep shared drives clean and findable
  • Manage expenses and reimbursements; match invoices and resolve payment questions (including with fiscal sponsor structures where relevant)
  • Handle occasional personal admin tasks that materially free up executive time
  • Jump in on operational “small things” that unblock the team (this is a high-agency environment)
  • Protect leadership focus by managing scheduling, information flow, and prioritization for Directors

Requirements:

  • 3+ years of hands-on event operations experience, owning logistics end-to-end (planning timelines, vendor/venue coordination, budgets, etc.).
  • Comfort working with distributed teams and working remotely
  • Exceptional written and verbal communication skills.
  • Proactive, analytical approach to anticipating needs and solving problems
  • High adaptability and comfort operating in ambiguity
  • Working fluency with modern ops tools (Google Workspace, Slack, Notion, Airtable; comfort using AI assistants like ChatGPT/Claude for drafting and workflows)
  • Genuine interest in AI safety / alignment is strongly preferred (you don’t need to be technical, but you should be motivated by the mission).
